How to create your signature
- Fill in your name, job title, company and the contacts you want to show.
- If you want a logo or photo, paste the link of an image that is already published (https), for example on your website.
- Pick the layout, accent color, font and size. The preview updates instantly; check it on a dark background and at phone width too.
- Fix whatever the quality check points out.
- Click "Copy signature" and paste it into your email signature settings.
What to put in a signature
- Name, job title and company, in that order.
- A phone number with the country code (for example +1) and an email or website to get in touch.
- About 6 links at most: website, LinkedIn and one or two networks you actually use.
- An action button only if there is one clear action, like booking a call.
- Avoid long sentences, quotes and huge legal notices: the signature shows up in every message.
How to install it in Gmail, Outlook and Apple Mail
- Gmail: Settings (gear) > See all settings > General > Signature > Create new, and paste the copied signature.
- Outlook on the web and new Outlook: Settings > Account > Signatures, create a new one and paste.
- Classic Outlook for Windows: File > Options > Mail > Signatures, create a new one and paste.
- Apple Mail on Mac: Mail > Settings > Signatures, create one and paste. If the font changes, untick the option to always use the default message font.
- iPhone and phones: the app usually accepts only text and basic formatting; use the "Copy as text" button.
Why the image may not show
Email clients do not show an image embedded in a signature: the image must be published at an https address anyone can open. That is why the tool asks for a link instead of a file.
Some clients block images until the recipient allows them. That is why name, title and contacts stay as text, and the image is only an extra.
What this tool does not do
- It does not host images: the logo and photo must be published at an https link.
- It does not install the signature in your email: you copy and paste it.
- It does not guarantee an identical look in every client and version: check by sending an email to yourself, on a computer and on a phone.
- It does not store or send your data: everything happens in your browser.
Frequently asked questions about email signatures
How do I create a professional email signature?
To create a professional signature, fill in your name, job title, company and contacts, pick a simple layout and copy the result. Keep the information and links few, and make the text readable on light and dark backgrounds.
How do I add a signature in Gmail?
In Gmail, open Settings > See all settings > General > Signature, create a new signature and paste the one you copied. Then choose which emails use it and save the changes at the bottom of the page.
How do I add a signature in Outlook?
In Outlook on the web and new Outlook, go to Settings > Account > Signatures, create a new one and paste. In classic Outlook for Windows, use File > Options > Mail > Signatures.
Why does my logo or photo not show in the signature?
The image must be published at a public https link. A local, pasted or http image is usually blocked. Some clients also hide images until the recipient allows them.
Do I need to host my logo somewhere?
Yes. The tool does not host files so that everything stays in your browser. Use the address of an image already published on your website or on an image hosting service you control.
Which fonts can I use?
The tool offers email-safe fonts: Arial, Verdana, Georgia, Tahoma and Trebuchet MS. Custom fonts are usually replaced by the recipient’s email client.
Does the signature work on a phone?
The preview shows a phone width. In a phone app, a signature set on your computer is usually used for synced accounts; the native mail app accepts basically text, so use the text version.
Is my data sent to a server?
No. The signature is built in your browser and nothing you type is sent or stored by the tool.
Is it free? Do I need to sign up?
It is free and needs no sign-up or email to copy the signature.
